Terms and Conditions for Balloon Experts, LLC Entertainment Services
Business Name / DBA
1) Booking and Payment
Nonpayment / Payment Default (Forfeiture + No Service)
Full payment is due by the date stated on your invoice/booking confirmation (“Due Date”). If full payment is not received by the Due Date, you will be considered in default. In the event of default: (1) your booking will be cancelled, (2) any non-refundable reservation fee paid will be forfeited and retained by Balloon Experts, LLC as liquidated damages, and (3) no entertainers will be scheduled and/or dispatched to your event. Balloon Experts, LLC has no obligation to provide services or appear at the event unless and until payment is received in full by the Due Date.
Exception — Schools and Government Agencies (Net 30)
Net 30 payment terms are extended to schools and government agencies. For qualifying school and government bookings, payment is due within thirty (30) days of the invoice date, unless otherwise stated in writing by Balloon Experts, LLC.

Capacity
- Balloons: ~15 guests/hour per artist
- Face Painting: ~15 guests/hour per artist
- Caricatures: ~15–20 guests/hour per artist

Your package includes a set number of guests.

Why we use tickets/wristbands:
- Prevents “we invited 40 extra guests” from turning into chaos
- Protects our artists from being pressured to rush or stay late for free.
- The host hands them out (we’ll guide you—it’s simple)
- Guests must show a valid ticket/wristband to receive service (no ticket/wristband = no service)
- Tickets/wristbands are not transferable (can’t use yours for someone else)
- Damaged or altered tickets/wristbands are not valid.
Extra guests:
- $10 per guest (only if time allows)
- Host may buy add-on tickets/wristbands during the booked time, with artist approval
- overtime may be required (if available)
- When extra guests are added, designs may be kept simple to maintain speed and quality

Payment:
Add-on tickets/wristbands and any overtime must be paid on-site before additional service is provided and must be paid directly to the artist. -
Large events:
Tickets/wristbands are not required unless your booking confirmation says otherwise.
7) Minimum Booking Times
- Balloon twisting and face painting: 1-hour minimum
- Caricature artists: 2-hour minimum
8) Line Cut-Off / End-of-Event Policy
Services will begin and end at the scheduled times listed on the booking confirmation. To ensure a smooth and timely wrap-up, the entertainer will announce a line cut-off approximately ten (10) minutes before the scheduled end time(or at the entertainer’s discretion based on line length and pacing). The entertainer will make reasonable efforts to complete service for guests who are already in line at the time of the line cut-off. Guests who are not in line by the line cut-off time will not be served, and no refunds or credits will be provided for guests not served due to late arrival to the line. If you would like service to continue beyond the contracted end time, overtime must be approved and paid in advance.
Line Work (Large Events — 50+ Guests)
Line Work Guidelines (Balloons + Face Painting)
- Limited Menu / Artist’s Choice: Designs will be limited to a pre-selected “line work” menu and/or artist’s choice. Detailed, custom, or time-intensive requests may be declined during line work service.
- One Per Turn: Each guest receives one (1) balloon creation and/or one (1) face paint design per turn (as applicable to the booked service). No add-ons, upgrades, or multiple designs per guest during line work unless approved by the artist.
- Ready When Called: Guests must be ready when it is their turn (design choice made, seated/positioned, hands/face clean and ready as applicable). Guests who are not ready may be asked to step aside so the line can continue moving.
- No Cutting / No Saving Spots: Line cutting and saving spots is not permitted. The Line Manager (if provided) will help enforce this for fairness.
- Time-Based Service: Services are time-based, not guest-count guaranteed. The number of guests served depends on line flow, guest cooperation, venue conditions, and safety considerations.
Additional Requirements & Recommendations (Smooth + Fair Operations)
- Design Display: Client agrees to allow the entertainer to post/display the limited menu (sign or board) near the line so guests can choose quickly and service can move efficiently.
- Age/Ability Considerations: Very young children may require a parent/guardian present to help them choose and remain still. If a guest cannot safely participate or remain still enough to be served, the artist may decline service for that guest to protect safety and maintain line flow.
- Separate Lines (Optional): For very large events, Balloon Experts, LLC may recommend separate lines (e.g., balloons vs. face painting, or kids vs. adults) to reduce bottlenecks and improve fairness.
Line Manager / Adult Supervision Requirement (Safety & Efficiency)
Client agrees to provide a responsible adult to act as a Line Manager for the duration of the service. This role is intended to support guest safety, organization, and efficient service. The Line Manager will help maintain an orderly line, ensure one-at-a-time participation, assist with age-appropriate turns, and help prevent crowding around the entertainer and equipment. If a Line Manager is not provided, or if crowd conditions become unsafe or unmanageable, Balloon Experts, LLC may pause services until order is restored. If services must be ended due to ongoing unsafe or unmanageable conditions, this will be treated as a client-side interruption and no refund will be issued for time lost.
9) Overtime + Extensions (Must Go Through Balloon Experts, LLC)
- Access to drinkable water for the entertainer(s).
- A clean, stable table and two chairs in a well-lit area.
- A designated, well-lit performance area suitable for the activity and free from hazards.
- Setup location details (building/shelter number) and clear directions before the event date.
- Parking fees
- Valet fees (if applicable)
- Venue/park entrance fees, admission fees, tickets, or wristbands required for entry (if applicable)
- (Optional) additional insurance (cost: $50)
- Costumes (if applicable)
- Travel fees: For events beyond a 15-mile radius from our base locations in Buffalo, NY 14202 or Miami, FL 33015, a travel fee of $1.00 per mile applies (round trip).
Infants / Toddlers (Choking Hazard) — Balloon Safety
For safety reasons, our balloon artist(s) do not provide balloons to infants or children under two (2) years of age due to choking hazard risks. Balloons and balloon pieces may present a choking hazard. Parent(s)/guardian(s) are solely responsible for supervising minors at all times and for determining whether a child may safely receive or handle a balloon. Balloon Experts, LLC is not responsible for any injury, choking, or incident resulting from a child’s use or handling of balloons or balloon pieces.
